Correct Business Letter Format
The correct business letter format is to use the standard writing format that is used in all types of business letters. There is really no correct format to use, but there are accepted formats for business letters that many people prefer used. Generally, you will start your business letter with a header that contains you and your company’s contact information. Most businesses will provide a letter head that is used on all correspondence so you will only normally need to fill in your direct contact information. The next step is to address the letter to your intended recipient. Your recipient will either be an individual or a company. Be sure to include their business name, personal name, address, direct phone number, and email address for reference at a later date.
After the intended recipient’s information has been included you should give them a salutation or greeting. “Dear” is always a good and simple choice. The body of your business letter should follow the salutation and contain the important message of your letter. Begin the body with a brief introduction which contains a few key terms that you will address further in the body paragraphs. The body paragraph should expand on the key terms of your introduction and provide greater details to the recipient. The body paragraph should contain the most sentences in your business letter. Finally, you should end the letter with a conclusion that summarizes the key point of the business letter and offers a solution or suggestion to the issues being addressed. The conclusion should tie up all loose ends present in the introduction and body paragraphs.
After your conclusion is written, provide a closing statement to the reader that is professional in nature. Be sure to leave a few blank spaces below it for your signature that will be above your typed name and direct contact phone number. Always be sure to proofread your business letters before sending them out to make sure proper spelling, grammar, and correct business letter format is used.
